The Staff Accountant is responsible for ensuring proper data flow related to receivables and payments, in addition to processing monthly invoices, commissions and other duties as required.
Process RX Utilization Commissions and Reseller/Broker Commissions
Prepare report for group or reseller receiving commission for RX utilization monthly
Enter Rx commission payable data into accounting system
Analyze RX utilization reports to identify trends
Prepare and distribute commission reports and summaries for approval
Manage the approval process for all commission payments
Analyze commission trends to identify unusual variances
Reconcile checks commission checks to the final approved commission reports, ensuring that payments are made timely and accurately and that no payments are missed
Post and Manage Receivables
Post daily batches from bank deposit against invoices in accounting system and ensure batch totals equal deposit totals
Resolve payment concerns (i.e. overpayments and underpayments) with internal resources and/or customer contact
Process payments from group in tracking software, noting and investigating any deviations from the expected amount
Confirm amount submitted is accurate and commission is paid on amount received
Resolve questions and issues from customers related to invoices
Partner with CFO to resolve payment concerns (i.e. overpayments and underpayments) speaking with internal resources and/or customer contact
Manage communications to groups regarding collection status. This includes regular email reminders as well as proactive phone calls to groups who are delinquent
Collect payments in a timely manner through collaboration with Finance team and Client Services to ensure groups remain in good standing
Escalate payment issues to CFO, COO and CEO if payments are not received by the fifth of the month to determine best course of action, which may include group deactivation
Resolve questions and issues from customers related to invoices
Verify and ensure accuracy of data prior to invoice distribution
Generate and distribute group related monthly invoices within the first two business days of the month
Partner with CFO to determine proper invoice calculation for brokers required to meet a monthly minimum
Generate and distribute broker invoices by the fifth business day of the month
Process invoices for exception clients
Process other invoice requests as needed (group setup fees, fulfillment, etc.)
Process Monthly Reports
On the 1st business day of each month, generate invoices and commission reports
Assist the CFO in the preparation of monthly financial statements
Check each group invoice and segment by hard-copy, self-billed, and emailed invoices
Transmit invoices to customers – email and hard-copy, also managing any special invoices
Manage the integration of data between the Accounting System and the Operations Systems. This includes the monthly import of statements to the Accounting System and the export of payment information daily to the Operating System.
Assign duties to the Accounting Clerk and manage his/her workload. Train and guide the Accounting Clerk to become a strong contributor to the department
Prepare reports and pull data to support projects as requested by CFO
Assist as needed in researching and resolving marketer and pharmacy commission issues
Proactively make recommendations for improvements to existing processes
Document processes and exceptions to standard processing
Identify areas for process efficiencies within the department

Education and Experience:
High School Diploma required
Bachelor's degree preferred (Accounting a plus)
1-3 years experience in an office environment in either a clerical, bookkeeping, or accounting function required
Proven career progression in Accounting/Finance preferred
Required Knowledge, Skills, and Abilities:
Basic knowledge of Accounts Payable and Accounts Receivable required
Excellent skills with MS Office programs including Outlook, Word, and Excel
